CUSTOMER SERVICE SPECIALIST | PART-TIME
GENERAL OVERVIEW
We’re seeking a part-time Customer Service Specialist (Front Desk Associate) to join our team! Our receptionists are able to master the skills to operate in Sales, Customer Relations, Administration, Finance, and even Service. We are looking for motivated, creative and enthusiastic individuals who shares our core values to join our team. You’d be a part of a winning team here at Ollin Athletics & Sports Medicine. We are looking for a candidate who is ready to hit the ground running and eager to make an immediate impact.
AS OUR NEW CUSTOMER SERVICE SPECIALIST:
- Enthusiastically greet patients, athletes, guests, and prospects on the phone and in person.
- Consistently offer the highest level of personalized member customer service while maintaining a positive, enthusiastic and helpful attitude
- Able to prioritize when faced with multiple demands
- Demonstrate strong organizational and time management skills
- Handles incoming calls on a multi-line phone system and directs them to the correct staff member while answering general information questions as required
- Provides administrative support to the executive staff when needed, such as data entry, preparing correspondence and record-keeping
- Maintains lobby in a neat and organized fashion to ensure that clients are comfortable and feel welcomed
- Help maintain workplace security by checking people in, maintaining visitor logs, and issuing guest passes when necessary
- Use office technology to keep office running smoothly, including multi-line phone system and scheduling software
- Answer phones, providing correct information to client questions or directing calls if required
- Assist with administrative tasks including copying & faxing
- Perform membership enrollment and front desk operations
- Schedule new patient evaluations and return visits in a timely manner.
- Verify insurance benefits.
- Collect co-pays.
- Resolve team and/or participant or operational issues using effective customer service and leadership skills.
- Consistently offer the highest level of personalized member customer service while maintaining a positive, enthusiastic and helpful attitude
- Assist and maintain accurate tracking of inventory items
- Respond to Member’s concerns, suggestions and complaints in a timely, professional and consistent manner.
- Assist with keeping the front offices, cleaning rooms, and overall facility well stocked and clean
- Memorize and confidently know all details to all programs/services offered
- Maintains all inventory logs
- Other duties as needed/assigned
THE IDEAL CANDIDATE WOULD HAVE:
- A high school diploma (Not Required)
- Excellent written and verbal communication skills
- Strong organizational skills and customer-service oriented approach
- Knowledge of Google applications and Microsoft Office applications (Word, Excel, Teams, Outlook)
- A current CPR/AED and First Aid Certification or able to obtain within 30 days of hire
- Passion for fitness and wellness
- Excellent interpersonal and problem solving skills
- Previous customer service, sales or related experience
